Vehicle documents

Keep registration documents, insurance, inspection reports, road tax, and other vehicle files on the vehicle record. Dates feed expiry alerts; an optional cost can feed Expenses without entering it twice.

Add a document

  1. Open Fleet, select the vehicle, and find Documents.
  2. Click Add document and enter its name. Use a suggested name for a standard document or type your own.
  3. Enter its start and expiry dates where applicable. Expiry cannot be before the start date.
  4. Upload one PDF or photo, up to 8 MB. You can also save the record without a file to track its dates.
  5. Add a cost only if you want it recorded in Finances, then click Add document to save.

After saving, check the name and dates in Documents. Click Open beside the attachment to view the file. Rental agreements and handover documents belong to the booking’s document workflow, not this vehicle-file list.

Names and document types

Nomora recognizes common names for Registration, Technical inspection, Insurance, and Road tax. The name you enter remains visible. Insurance represents the compulsory liability policy; comprehensive cover such as Kasko and Green card are separate documents.

For other documents, use a consistent name across renewals. A later document replaces the current one for the same recognized type, or for the same name when it is another kind of document. Earlier records remain in the vehicle’s history.

Check upcoming expiry

The dashboard’s expiring-documents list and the vehicle list’s Important Dates show current documents with expiry dates. A document becomes expiring soon within 30 days, and urgent within 7 days or after expiry. No expiry date means there is no expiry alert for that document.

Calendar document cues focus on insurance, technical inspection, and road tax. An uploaded document with another name can appear in the dashboard and Important Dates without appearing as one of those calendar cues.

These are in-app expiry alerts. Saving an expiry date does not schedule a customer SMS or automatically remove the vehicle from booking availability. See renewal and availability.

Costs and existing expenses

The document can have a one-off cost, repeated payments, or a total spread monthly. If you already entered the cost or schedule in Finances, use Use this one to attach it to the document instead of creating another expense.

Follow vehicle-document costs to choose the cost mode, adopt an existing expense, and understand recorded versus upcoming amounts. For general schedules, see recurring expenses. Recording a cost or schedule does not pay the supplier.
