Custom fields
Custom fields hold information that Nomora has no built-in field for. You define a field once, and it appears on every booking, vehicle or driver in your organization. A rental company might add a destination to bookings, cargo dimensions to vans, or a taxi badge number to drivers.
Custom fields are for your team. Customers don’t see them.
Where they appear
| Record | Where your team fills it in | Where it shows afterwards |
|---|---|---|
| Booking | Additional details in the new booking form, below the notes | The Custom fields card on the booking page, and as optional columns in the bookings list |
| Vehicle | Custom fields on the Equipment tab of Add Vehicle and Edit Vehicle, or a cell in Fleet Tracker | The Custom fields card on the vehicle page, and a column in Fleet Tracker |
| Driver | Custom fields in the driver form, below the licence photos | The Custom fields card on the driver’s profile |
An organization with no custom fields sees none of these sections. The vehicle and driver cards also stay hidden until the record has at least one value.
Create a field
- Open Settings → Custom fields.
- Find the card for the record you want: Booking custom fields, Vehicle custom fields or Driver custom fields.
- Click Add custom field.
- Enter a Field name and choose a Type.
- Click Save.
The field shows up on the forms straight away. Nobody has to fill it in, because every custom field is optional.
Vehicle fields have one extra checkbox, Show on the vehicle form and detail page. It is ticked by default. Untick it to keep the field as a Fleet Tracker column only, which suits day-to-day tracking that would clutter the vehicle form.
You can also create a vehicle field from the Fleet Tracker grid with Add Column. Both routes create the same kind of field. The Fleet Tracker page has a video of that flow.
Field types
| Type | What your team enters | Available on |
|---|---|---|
| Text | Anything | Bookings, vehicles, drivers |
| Number | A number | Bookings, vehicles, drivers |
| Link | A web address starting with http:// or https://, shown as a clickable link | Bookings, vehicles, drivers |
| Select | One value from a list | Bookings, vehicles, drivers |
| Checkbox | Ticked or not | Bookings, vehicles, drivers |
| Date | A date from the date picker | Bookings, vehicles, drivers |
| Image | One uploaded photo | Drivers only |
Use two Image fields for the front and back of a document.
You choose the type when you create the field and can’t change it later. To switch types, create a new field and remove the old one.
Dropdown lists
A Select field is a dropdown that searches as you type. Enter its options separated by commas.
Let staff add options while filling the field decides who can extend the list. It is ticked by default.
- Ticked. Someone who types a value that isn’t on the list saves it to the record and adds it to the list for the next person. You can leave the options empty and let the list build itself. This suits lists nobody can write out in advance, like destinations. The list holds up to 500 options.
- Unticked. Your team can only pick from the options you entered. Use this when the value has to match a fixed set. The list needs at least one option and holds up to 100.
A list that staff can extend collects typos and near-duplicates over time. “Riga” and “riga” count as two options. Edit the field in Settings now and then to tidy the list.
Renaming or deleting an option only affects future picks. Records keep the value they were saved with.
Edit a value on a booking
On the booking page, hover a field in the Custom fields card and click the pencil. Each field saves on its own, so two people can edit different fields on the same booking without overwriting each other. Nomora records every change in the booking’s history with the old and new value.
To see a field across all bookings, open the Columns menu in the bookings list and tick it.
Edit, reorder and remove fields
All three happen in Settings → Custom fields.
- The pencil renames a field or changes its options. Records keep their values after a rename.
- The up and down arrows set the order on the forms. For vehicle fields this is also the column order in Fleet Tracker.
- The bin removes a field.
Removing a field never throws away recorded data. If no record has a value in the field, Nomora deletes it. If any record does, Nomora archives it instead. An archived field disappears from the forms. Records that already have a value still show it, marked archived and read-only.
Archived fields sit in the Archived list at the bottom of the card. Click Restore to bring one back.
Good to know
- Only Admins can create, edit and remove fields, because only Admins can change Settings. An Admin viewer can open the list and change nothing. Anyone who can edit a booking, vehicle or driver can fill in its fields.
- Each record type can have up to 50 fields. Archived fields don’t count, so archiving one makes room.
- Field names and options are shown as you typed them in every language.
- Custom fields are separate from the fields you fill in when generating a contract. For those, see Dropdown Options for Template Fields.
