Return a deposit or rental overpayment
Open the booking’s Payments section and check the deposit Held amount and the rental Remaining or Overpaid amount. They are separate balances, so return each using the right transaction type.
Settle a charge from a held deposit
If you agreed to keep part of the deposit for fuel, cleaning, damage or another rental cost:
- Add the cost in Pricing.
- Find Deduct €… from deposit in the deposit strip. The hint shows what is owed and what will remain to return.
- Click it, then check that the rental balance fell and Held shows the remaining deposit.
The button deducts up to the smaller of the rental balance and deposit held. If the balance exceeds the deposit, the rest remains due. On an active open-ended rental, this deduction is available after the vehicle is returned and the rental total is final.
Return a deposit paid in cash or by transfer
- Return the remaining held amount to the customer through the agreed payment method.
- In the booking’s transaction list, find a Deposit row and click Return on that row.
- Check the new Deposit Return transaction and the updated deposit balance.
Return records up to the deposit still held, limited by the deposit row’s original amount. If you collected it in several transactions, return and record each part until the balance is clear.
Return records a deposit return. It does not send money to a bank account or card. It uses the original deposit row’s method; use the pencil on the new return row if you need to correct the date, method or amount recorded.
Return an online payment
For an ordinary Stripe or Montonio payment, process the refund through the provider. Then check the booking’s transactions before adding a return yourself.
Stripe refunds of online rental-only payments are recorded automatically. If the original payment included a deposit, Nomora leaves the refund classification to you. Record the deposit part as a deposit return and any rental part as a Refund after checking the provider’s completed amount.
Montonio refund notifications appear below the matching transaction, with their provider status. That notification does not itself add a refund transaction to the booking. After the provider confirms the money was returned, record a Refund for rental money or use Return for the deposit. Do not record a pending or failed provider refund as completed.
Deposit collected through automatic card billing
If the deposit was collected when the customer set up automatic card billing, the booking can show a Refund to card action after the rental ends.
- Settle any agreed charges from the deposit first.
- In the automatic card billing panel, check the refundable amount and enter how much to return.
- Click Refund to card and wait for confirmation.
- Check the deposit return transaction and remaining held amount.
This action sends the refund through Stripe and records the deposit return. Do not click Return again for the same money. Its available amount is limited to that card deposit and what the booking still holds.
Return a rental overpayment
If the extra rental money is a deposit, use Allocate to deposit instead of refunding it. Otherwise, return it through the payment provider, bank or cash. For online payments, follow the provider steps above. Wait for a Stripe rental-only refund to be recorded automatically and do not add a second entry. For cash, bank transfers or provider refunds that need a manual record, check the transaction list first, then click Add Payment, choose Refund, enter the amount and method, and save.
A rental refund reduces Paid. Refunding more than the overpayment can make the booking partly paid again. Refunds cannot exceed the rental money still paid; use Compensation for an additional payout beyond the money collected.
Find deposits still to return
Open Finances → Payments → Deposit Refunds to see held deposits and rental overpayments across bookings. Money marked due includes ended and cancelled rentals. Open the booking from the list to check its charges and record the return.
The list shows what is still recorded as held. Cancelling a booking or passing its return date does not send a refund automatically.
