Document templates

A document template is the layout of a rental agreement, handover act or any other paper you give a customer. You write it once. Nomora then fills it with the booking, customer and vehicle details each time you generate the document from a booking.

Where to find it

If you already use a contract, start with Upload your current contract. Nomora prepares a draft for you to review and approve. The editor below is for creating or changing a template yourself.

Open Settings → Documents. The Document templates card lists your templates and holds the editor. Field configuration, further down the same tab, controls the fields staff fill in by hand.

What a template holds

A template is HTML with placeholders in curly braces, such as {clientName} or {vehicleBrand}. In the editor, the Placeholders list shows every placeholder Nomora knows; click one to insert it at the cursor.

Each template also has:

  • a Template name and a Status. Only an Active template is offered when staff generate a document. Draft keeps one out of the list while you work on it, and Retired takes an old one out of use without deleting the documents made from it.
  • the Vehicle classes it applies to. Leave it on all classes unless different vehicles need different paperwork.
  • a Numbering series, when its documents should carry a running number.
  • Require customer signature before unlock, for organizations whose customers unlock the vehicle themselves.

Use Template test run to render the HTML you are editing with sample data, before and after pickup and return, and to preview the PDF. Nothing is saved until you click Create template or Update template.

Pickup and return fields

A template can ask for details that only exist at the handover: the pickup and return date, time, location and notes, and the signatures of staff and customer. Nomora works out from the placeholders whether a template is filled in at pickup, at return, or at both, and opens the matching form after Check Out and Check In.

Mileage and fuel are not typed into that form. A template that uses {pickupMileageKm}, {returnMileageKm}, {pickupFuelLevel} or {returnFuelLevel} prints the readings staff recorded in the Check Out and Check In forms. A fuel level prints as empty, 1/4, 1/2, 3/4 or full, and stays blank when nobody recorded one. See vehicle pickup and return for the full handover.
