Your first rental
Set up one vehicle and one booking before opening online bookings to customers. You need a role that can manage the settings and records used below. Check your team’s permissions if a control is missing.
1. Set your prices and units
Open Settings → Pricing. Set the currency and distance unit first, then configure a vehicle class and its rental rate. Check your tax handling and whether you collect an advance rental payment or a refundable deposit.
Pricing settings explains the defaults. Organization settings explains currency, units and the clock.
2. Add a vehicle
Open Fleet, click Add Vehicle and enter the vehicle’s details. Choose the class whose pricing it should use. Save the vehicle.
If you connect GPS, review the import before creating vehicles so an existing vehicle is linked rather than duplicated. You can prepare a booking without connecting GPS.
3. Prepare your contract
Open Settings → Documents and use Upload your current contract. Send your existing agreement, terms and handover act, then review and approve the draft when it is ready. This is an assisted setup, so do it before the first handover.
If you already have an active template for the vehicle’s class, continue to the booking.
Upload your contract covers the request and approval steps. The template guide covers editing your own template.
4. Create the booking
Open Bookings and create a booking. Select a vehicle or class, enter the dates and choose the customer. Add the company and driver separately when they differ from the customer.
Check the booking’s Pricing card before sending anything. To change the rate, billed days, add-ons or custom charges, click its pencil icon.
See create a booking and pricing on a booking.
5. Send the customer link
On the booking, create a customer link and review its information, payment and deadline options. Use the recipient menu to choose how and where to send it. Copying a link and sending it yourself is different from sending it through Nomora.
Customer links explains the complete flow. Messages and reminders explains which messages follow automatically.
6. Hand over and return the vehicle
Use Check Out at pickup and Check In at return. Record mileage, fuel and the required handover information. Complete the documents and signatures for your process.
After return, check the booking’s balance and deposit refund separately. Completing a rental does not by itself settle its money.
Continue with vehicle pickup and return, payments and deposits and invoicing.
