Create a booking

Create a booking yourself for a phone call, walk-in, or agreed rental. For customers booking online themselves, use the Guest Book.

Choose the customer and vehicle

  1. Open the app’s create menu and choose New booking. You can also open the command palette and choose the booking creation action.
  2. Choose an existing customer or create one in the booking form. Add the company when the rental is for a business.
  3. Select the vehicle and enter pickup and return dates and times. For a class booking, reserve the class and assign a specific vehicle later.
  4. Review pickup and return locations, any delivery address, and equipment.
  5. Check the price summary, payment arrangement, deposit, and distance allowance before creating the booking.
  6. Click New booking, then open the saved booking to review it.

The form warns about overlaps with other bookings and blockouts. Choose another vehicle or period, or explicitly confirm an override when you intend that overlap. Booking rules for public channels do not apply to bookings you create yourself.

Use the regular date-based booking for a rental with an agreed return. An open-ended rental has a separate recurring price and billing workflow; a lease has its own vehicle-price and payment schedule.

Customer, company, and driver

RecordPurpose
CustomerThe person’s contact and identity information associated with the booking. Customer-link sending and automatic messages use these contact details.
CompanyThe business associated with the rental, including billing details and its contact person. A company email can be chosen when sending the customer link.
DriverThe person who will drive. A booking can list drivers and identify a primary driver for documents. The driver can differ from the customer or company’s contact person.

Do not replace a company’s name with the driver’s name to make a document look right. Check the booking’s customer, company, and driver separately, and use the corresponding document fields.

Existing customer and company records are shared across bookings. Editing their contact or identity details changes the record reused elsewhere. Selecting another record changes which customer or company this booking uses.

Finish the booking setup

Creating the booking does not send its customer link. Open Customer link, generate and send it, and check which details or payment you are requesting.

Review the booking price, distance allowance, and document templates before pickup. When the vehicle is ready, follow pickup and return.

Find an existing booking

Open Bookings and use its search and filters, or search the command palette by customer, company, vehicle, registration plate, or booking ID. If a booking seems missing, clear date and status filters before creating another one.
