Open-ended rentals
Use an open-ended booking when you charge a recurring weekly or monthly price and the vehicle stays out until you record its return. You can leave the planned return empty or enter an agreed date. That date helps plan availability; it does not return the vehicle or stop rent by itself.
Create the rental
- In Settings → Pricing, turn on Open-ended rentals.
- Create a booking and select Open-ended booking.
- Enter the rental start and select Weekly or Monthly under Billing period. Enter the agreed recurring price.
- For monthly billing, choose Billing periods from the rental’s start day or from a set day of each month. Enter a planned return if one is agreed.
- Assign a specific vehicle, select the customer and finish creating the booking. Open-ended bookings need a vehicle; reserving only a class is not enough.
- Complete pickup and the contract as you would for another rental. Choose manual payments, automatic card payments or automatic period invoices.
Enabling open-ended rentals does not start card charges or issue invoices. Set those up separately for each booking.
Choose the billing periods
From the rental’s start day. Weekly periods are seven days. Monthly periods begin on the corresponding day each month. Each period costs the full recurring price once it starts, including the final period if the vehicle returns during it.
From a set day of each month. Choose a day, such as the 1st, for monthly periods. The first and final partial months cost the monthly price multiplied by the days used, divided by the days in that full billing period. The start and return days count in full. A selected day that does not exist in a shorter month falls on that month’s last day.
For example, at €620 per month from the 1st, a rental beginning on 16 October has 16 billable days before November. Its first period costs €620 × 16 ÷ 31 = €320. November costs €620. If you instead bill from the rental’s start day, its first full €620 period begins on 16 October.
Choose the period boundaries before recording rent, issuing an automatic period invoice or starting card payments. Those actions lock the boundaries. Changing the default in Settings affects new bookings, not periods already agreed on an existing booking.
Read the running balance
The booking shows the recurring rate, Paid through, Next due and Amount due. The rental has no fixed lifetime total while it is running. New periods become owed as they begin.
Paid through follows consecutive covered periods. A deposit is held separately and does not pay for a rental period. Check period payment coverage when a receipt appears but the paid-through date has not moved.
Use Open-ended only or Overdue in the Bookings filters to find rentals that need attention.
End the rental
Open the booking and complete the return flow. Check the actual return date and time, then review the final adjustment and any additional charges.
Rent stops at the recorded return. A planned return that passes while the vehicle remains out does not stop it. Starting or stopping invoices or card payments also does not record a return.
A return stops automatic card billing and leaves any final automatic period invoice to be issued. Review the remaining balance, refund due and deposit separately. Returning the vehicle does not itself return its deposit.
