Automatic period invoices
Automatic invoicing issues an invoice for each weekly or monthly period of an open-ended rental. It can email the invoice to the customer or leave it for you to check and send. Issuing an invoice does not charge a card or record a rental payment.
This option is being made available by organization. If Automatic invoices is missing after you enable open-ended rentals, ask Nomora support about availability.
Set the organization defaults
- Open Settings → Pricing and enable Open-ended rentals.
- Turn on Automatic invoices.
- Choose When the invoice goes out and the lead time or payment terms.
- Decide whether to enable Email each invoice to the customer. With this off, issued invoices wait in Finances → Invoices for you to send.
- For built-in or Monet invoices, choose One invoice per customer if you want matching rentals billed together. Invoice123 invoices remain separate for each rental.
The invoicing provider comes from your invoice settings. Check its company details, numbering and customer configuration before enabling a booking.
Enable a booking
- Open the running open-ended booking and find Automatic invoices below its recurring price.
- Check Billing periods, the recurring amount and the timing. You can override the organization’s invoice timing for this booking.
- Select the Monet or Invoice123 customer when using that provider. Create a missing customer in that provider first. For built-in invoices, check the buyer name shown.
- Check Send invoices to. Leave it empty to use the customer’s email, or enter the address that should receive these invoices. Automatic emailing needs a recipient address.
- Review What would go out, including each period, amount, issue date and due date.
- Click Switch on automatic invoices. Check Next invoices and, after issuance, Invoiced periods.
Automatic invoices are not offered while a live card subscription collects the rent. Choose the collection method before enabling either flow.
Choose when to invoice
For a monthly rental billed from the 1st, these settings produce different October invoices.
| Timing | October example |
|---|---|
| Before the period, with 7 days’ lead | Issued on 24 September, due on 1 October, for October’s rental. |
| After the period, with 7 days to pay | Issued on 1 November, due on 8 November, for October’s rental. |
| On the period’s last day, with 7 days to pay | Issued on 31 October, due on 7 November, for October’s rental. |
Scheduled issue times use your organization’s time zone. Processing runs hourly, so the invoice may appear after its scheduled time. An invoice delayed by a provider failure uses the actual issue date.
On a monthly schedule from a set day, the first and final partial periods use the days rented. A short first period billed in advance can share the next period’s invoice when the rental begins inside the lead window. For example, a 28 October start billed from the 1st with 7 days’ lead can produce one invoice covering 28 October to 30 November. Check the preview before enabling.
Monitor and correct
Invoiced periods shows the period amount, invoice number and sent or paid status. A shared invoice lists several rentals, so its total can exceed the amount shown on one booking’s period row. Rentals share only when the invoicing customer, recipient address, invoice date and due date match.
For Needs attention, read the error, fix the provider connection or missing details, then click Try again. Nomora queues another attempt within the hour. If an invoice exists but was not sent, send it from Finances → Invoices.
An invoice marked paid does not advance the booking’s paid-through date. Record the received rental payment separately.
Stop invoicing or return the vehicle
Use Switch off on the booking to stop new automatic invoices. An invoice already being created may still appear, and the panel identifies it. Switching off does not cancel issued invoices or end the rental.
A planned return limits future invoices while that date is still ahead. If the vehicle remains out after that day, billing continues. Recording a planned return does not shorten an invoice already issued for a whole period.
Complete the actual return to end the rental, then check its last invoice and balance. Corrections to a period invoice leave the rental status alone, and a cancelled period is not recreated automatically.
